When should you do your wedding seating chart?

The Fotelya team ·

Start a draft as RSVPs come in, then finalize the chart one to two weeks before the wedding, once you have the final headcount: that is when most couples do it, according to Zola. If you are ordering a printed seating chart display, Paperlust suggests locking it in four to six weeks ahead, which means setting an earlier RSVP deadline.

Ordering a printed seating chart display? Paperlust suggests finalizing assignments four to six weeks before the wedding, which means asking for RSVPs earlier.

Why not finish it too early?

Until every RSVP is in, each cancellation can undo an entire table. The later you finalize, the fewer changes you will have to make, as long as you leave time to print the chart and brief the caterer.

Who needs your chart?

Your caterer and venue may need the number of guests per table and any dietary requirements before the day: ask for their deadline when you book. That date often sets yours.

Fotelya's free seating chart generator runs in your browser: paste your tables and their guests, and rebuild the poster in seconds after a cancellation, with no account. Add your photo album's QR code to the poster: the seating chart becomes the first invitation to share photos.

What if a guest cancels the day before?

Just remove their seat: at a round table, one missing place setting goes unnoticed. If a whole table empties, move its guests to the neighboring tables and reprint the poster.

Can you make a seating chart online for free?

Yes. Free tools exist, including Fotelya's generator, which works without an account and produces a print-ready poster.
