The QR poster is the starting point for any successful photo collection: it turns your guests into contributors. But it needs to be visible, clear and engaging. Here’s what to write on it, where to place it, how to print it, and a free tool to create yours in one minute.
What is the QR poster for
Placed on tables or at the entrance, the QR poster invites each guest to scan a code with their phone to join the event’s shared photo album. No app to install, no address to copy: one scan, and the guest uploads their photos.
It’s the most effective participation tool available: guests see it throughout the meal, exactly when they take photos.
What to write on the poster
A short, warm title that says it all: “Share your photos!” works better than any complicated phrase. Add a one-line subtitle explaining the benefit: “Upload your photos and videos to the shared album.”
Below the QR code, a micro-instruction reassures less tech-savvy guests: “Scan with your phone’s camera.” That’s all: an overloaded poster is a poster no one reads.

Where to place your posters
The center of tables remains the top spot: guests have it in sight throughout the meal. Add posters at the entrance (arrivals), the bar (waiting moments) and the guestbook corner.
For a wedding of 80 to 120 guests, four to six contact points are enough: one A4 poster at the entrance and at the bar, smaller table cards at the center of tables.
Printing well: the simple rules
Print from a high-resolution file (300 dpi): a pixelated QR code scans poorly. Use thick paper, 200 gsm or more, and a matte finish: the glare of glossy paper interferes with code reading under evening lighting.
Always test the printed poster before the big day, with two different phones and under low lighting. Thirty seconds of testing prevent an evening of “it won’t scan.”
