Getting Started

How do I create my event album?

Go to app.fotelya.com, choose a template designed for your event type (wedding, birthday, baby shower, party…), give it a title, and you’re done: your album, QR code, and organizer dashboard are ready in two minutes, with no credit card required. You’ll receive your personal organizer link by email: keep it safe, as it gives you full control over your event.

Do my guests need to install an app?

No, never. Your guests simply scan the QR code with their phone’s camera and share directly from their browser. No app, no account, no password: that’s what makes Fotelya accessible to all ages, from 7 to 97.

How do I get the QR poster and table cards?

Your organizer dashboard automatically generates an elegant QR poster and matching table cards, ready to print at home or with a professional printer. Place the poster at the entrance and the cards on the tables: your guests scan and share in seconds. These materials are included in all plans, including the free one.

Can I test before the big day?

Absolutely, and we recommend it. If you’ve set an event date, sharing opens 14 days before: use this time to upload test photos, check the live wall on your screen, and print your materials. You can remove test photos anytime from the gallery.

How do I customize colors, text, and appearance?

Open the studio in your organizer dashboard to adjust colors, fonts, welcome message, and thank-you note. A live preview shows exactly what your guests will see on the gallery, poster, live wall, and table cards. Premium and PRO plans add white-labeling: your logo, with no Fotelya mention.

What if my guests don’t all speak French?

No issue at all. The guest experience automatically displays in each phone’s language, among 17 supported languages (French, English, Spanish, German, Italian, Portuguese, Dutch, Polish, Russian, Arabic, Chinese, Japanese, Korean, Hindi, Indonesian, Turkish, Swedish). Room materials like the poster and live wall remain in your event’s language.

Uploading photos and videos

Which photo and video formats are supported?

All common phone formats are accepted: JPEG, PNG, WebP, GIF, HEIC/HEIF (iPhone) and AVIF for photos; MP4, MOV (iPhone), WebM and 3GP for videos. Your guests don’t need to convert anything: what their phone produces works straight away.

Is there a maximum size for videos?

Yes: 100 MB per video, roughly one minute in 4K (iPhone) or 3 to 4 minutes in 1080p. That’s more than enough for an event keepsake, and it prevents a single oversized file from hogging your album’s space. If a video is rejected for size, simply trim it or lower its resolution before sending.

Are photos compressed?

Photos are smartly optimized for fast, crisp display (high definition, up to 2560 pixels), while videos are kept as-is. On paid plans, downloading the ZIP album restores your original files, without any watermark.

How long can my guests send photos?

Guests send photos around your event, not indefinitely. If you’ve set a date, uploads open 14 days before the big day. Once the event truly begins, you have 14 days to collect everything: latecomers still have plenty of time to add their shots, after which uploads close. After closure, the gallery remains viewable and downloadable until the end of your plan’s retention period.

Why are uploads closed on my album?

Uploads automatically close 14 days after your event’s true start, ensuring an album matches a single event. The gallery remains viewable and downloadable afterward. If an exceptional case calls for extra time (for example, late arrivals after an overseas wedding), email us at support@fotelya.com: we always find a solution.

Is there a limit on photos, videos or guests?

On paid plans, guests are unlimited and storage is generous: everyone can share as much as they like. The free plan offers ample space for a small group (around 400 HD photos). If your album nears capacity, you’ll receive an email and can upgrade in one click, without losing anything.

What if the venue’s network is weak?

Photos save locally on the guest’s phone and send automatically once the connection returns. Nothing is lost, even in a barn, basement or secluded garden. Guests can keep snapping: the queue empties on its own.

Can a guest delete a photo they uploaded?

Yes. Each guest can remove their own uploads directly from the gallery, using the same phone. As the organizer, you retain full control: you can hide or remove any content at any time from your dashboard.

Why isn’t an uploaded photo showing in the gallery?

Three possible reasons. First, the connection: the photo is still in the upload queue and will appear once the network returns. Second, automatic moderation: if enabled and content seems inappropriate, it’s set aside and you can restore it in one click from your organizer space. Third, private mode: if your album is private, each guest only sees their own uploads, while you see everything.

Album and downloads

Who can view the photos in the album?

Only the people who have your event's QR code or link, and the PIN if you set one. The gallery is not public, does not appear in search engines, and is never shared with third parties. In private mode, access is even more restricted: each guest sees only their own uploads, and you alone can view the complete album.

How do I protect the album with a PIN?

From your organizer dashboard, enable the PIN: guests will need to enter it in addition to the link or QR code to access the album. This is the recommended protection if your poster is placed in a high-traffic area or if the event takes place in a semi-public space.

What is private mode used for?

In private mode, each guest sees only their own uploads: you alone can view the complete album from your organizer dashboard. This is ideal for surprises (no one sees others' photos before the big reveal) or for a photo guestbook you plan to unveil later.

How do I download all photos and videos?

With the Event, Premium and PRO plans, your organizer dashboard lets you download the entire album in one click as a ZIP file in original quality and without any watermark. Each guest can also save individual photos from the gallery. Remember to download your ZIP before the end of your plan's storage period.

Why is there a watermark on my photos?

The subtle Fotelya watermark appears only on the free plan. Once you upgrade to a paid plan, it disappears from the entire album immediately, including photos already uploaded: originals remain clean, and no resubmission is required.

What happens to the album after submissions close?

You and your guests can still view and download it until the end of your plan's storage period: 30 days (Free), 6 months (Event) or 12 months (Premium). You will receive an email one week before expiry to remind you to retrieve everything, after which the album is permanently deleted.

Live wall on large screen

How do I display the live wall on a TV or projector?

Simply open the live wall link (available in your organizer dashboard) in the browser of the screen: Smart TV, computer connected to the projector, TV box… then switch to full screen. Your guests’ photos appear in real time within an elegant design tailored to your theme. No installation, no extra hardware required.

What if I don’t have a screen on site?

No problem: the live wall is a bonus, never a requirement. The shared album works everywhere, on your guests’ phones. Many beautiful events thrive without a screen: photos are discovered in the gallery, during and after the party.

What display modes does the live wall offer?

Three ambiences to choose from: polaroid (photos land like instant prints), cinematic (full-screen immersive slideshow) and mosaic (a living grid that fills up continuously). Pick the mode that matches your event; with the Premium plan, each screen can even display a different mode.

Can I use multiple screens at the same time?

Yes, with the Premium plan: open the live wall link on as many screens as you want, and assign each its own display mode (for example, a mosaic at the entrance and a cinematic in the main room). With other plans, all screens show the same mode.

What does the wall show when no photos are being sent?

Between uploads, a waiting screen showcases your event name, date and QR code: guests always know how to join in. As soon as a new photo arrives, it takes center stage seamlessly.

Do photos really appear in real time?

Yes: within seconds of being uploaded, the photo joins the wall. It’s the magical moment of the evening, the dance floor watching itself. If your venue has spotty Wi-Fi, the wall automatically catches up once the connection returns.

Guestbook and photo challenges

How does the guestbook work?

Your guests can leave a written message directly from the gallery, with no account required: a kind word, a fond memory, or a heartfelt wish. All messages are collected in your album, ready to be read and downloaded. The written guestbook is included in all plans, even the free one.

What is the voice guestbook?

With the Premium plan, your guests can also record a voice message from their phone: their voice, laughter, and emotions captured in seconds. These audio messages appear in your album alongside the written ones. It's often the most moving memory to revisit years later.

What are photo challenges for?

Challenges give your guests fun missions (« a selfie with the couple », « the best dance floor photo »…) to encourage more uploads and showcase different perspectives. Choose from ready-to-use challenges tailored to your event type, or write your own. Unique bonus: ready-to-use challenges appear in each guest’s language.

Can I disable the challenges or guestbook?

Yes, everything is adjustable from your organizer dashboard: turn challenges and the guestbook on or off to match your event’s vibe. A formal event might focus on photos only, while a lively party can use everything.

Privacy and security

Where are our photos hosted?

In the European Union, with European providers or those operating under GDPR guarantees, with encryption at rest and in transit. Fotelya has been designed from day one as a sovereign and privacy-respecting service: native GDPR compliance, no wild transfers outside the EU.

Are our photos and videos private?

Yes. Access is restricted to your QR code or link, plus a PIN if you enable it. The gallery is not public, not indexed by search engines, and never used for advertising purposes. Deletion at the end of the retention period is permanent.

Who owns the photos?

You and your guests, 100%. Fotelya does not resell anything, displays no ads, and never uses your content to train third-party AI. Our only license is technical: to host and display your photos so we can provide the service, nothing more.

Someone appears in a photo and wants it removed. How do I proceed?

Anyone appearing in content can request its removal: the guest who uploaded the photo can delete it themselves, the organizer can remove it from their dashboard, and if needed, an email to contact@fotelya.com will do the trick. We process requests quickly. Respect for image rights is part of our terms of use.

How can I prevent a guest from sharing inappropriate content?

Smart and sovereign moderation (AI hosted in the EU) can automatically scan photos, videos, and messages, filtering out clearly offensive content without blocking normal memories: a beach photo or a kiss will pass through without issue. You choose the level (disabled, standard, or strict) and always have the final say: any masked content can be restored with one click.

Can a guest report content?

Yes. Each photo in the gallery includes a discreet reporting option. Reported content is set aside, and you, as the organizer, decide whether to remove it permanently or restore it. You remain the final arbiter of your album.

What happens to the data after the event?

At the end of your plan’s retention period, the entire album (photos, videos, messages) is permanently deleted from our servers. You’ll receive an email one week prior so you can download everything if needed. This is a deliberate choice: your memories don’t linger online forever, which is better for your privacy and gentler on the planet.

Does Fotelya use advertising cookies or trackers?

No. No advertising cookies, no social media pixels, no data resale. The only analytics we use are anonymous and strictly for service improvement. The full details are in our cookie policy, accessible at the bottom of every page.

Plans and payment

What is the difference between the free plan and the paid plans?

The free plan is perfect for discovering Fotelya: a shared photo album in HD (up to about 400 photos), a written guestbook, photo challenges, a QR poster and table cards, with a subtle watermark and 30 days of storage. Upgrading removes the watermark and adds guest videos, the live wall on a big screen, a ZIP download of the album and 6 months of storage. The Premium plan also includes a voice guestbook, white-labeling (your logo, without any mention of Fotelya), multi-screen support and 12 months of storage. What exactly does the free plan include?

Everything you need for a small event or to try Fotelya in real conditions: a shared HD photo gallery (about 400 photos), a written guestbook, photo challenges, a QR poster and table cards, a PIN code and private mode. Photos include a subtle watermark and the album is stored for 30 days. Videos, the live public wall and ZIP downloads are included in the paid plans.

Can I start with the free plan and then upgrade to a paid plan?

Yes, at any time, even after your event as long as your album still exists. Upgrading is instant: the watermark disappears from all previously uploaded photos, videos and the live wall are unlocked, and storage duration is extended. You won’t lose anything, everything is neatly preserved from the start.

How does payment work?

You create your album and only pay when you’re ready, with no credit card required to test the service. Payment is a one-time purchase per event (no hidden subscriptions), processed securely by Paddle, which also handles VAT worldwide and provides a compliant invoice.

What is your refund policy?

Since our service is a digital content delivered immediately (your album unlocks the moment you pay), the right of withdrawal expires once the service is fully executed, in accordance with consumer law. You consent to this by checking the dedicated box at checkout. If you encounter a real issue with the service, please contact us: we always strive to find a fair solution.

Who is the PRO plan designed for?

Professionals in the events industry: venues, DJs, wedding planners, photographers, clubs. The PRO plan unlocks unlimited events on a monthly subscription basis, each with its own QR code, white-labeling and independent album. Your logo appears on every event, with Fotelya’s technology working seamlessly in the background.

How much storage space does each plan include?

Each plan includes ample storage tailored to its use: the free plan covers about 400 HD photos, while paid plans offer dozens of gigabytes per event, easily accommodating hundreds of guests sharing photos and videos. If an album nears its capacity, you’ll receive an advance email notification.

Can I reuse my album for another event?

Each album is tied to a single event: once uploads are closed, they cannot be reopened, and clearing the gallery doesn’t reset your storage. For a new event, simply create a fresh album in just two minutes. If you organize events regularly, the PRO plan unlocks unlimited albums.

Common issues

The QR code won't scan, what should I do?

Check three things: the lighting (a QR code under glass or in backlight is harder to scan), the print size (at least 3 cm on each side for table cards) and the device (simply open your phone's camera app, no dedicated app needed). As a last resort, share the album's direct link via message: it leads to the exact same place.

A video is refused when sending, why is that?

There are two possible reasons. First, your album is on the free plan: guest videos are part of the paid plans, upgrading unlocks them instantly. Second, the video exceeds 100 MB: trim it or reduce its resolution, then try sending it again.

Do iPhone photos (HEIC) cause issues?

No: the HEIC/HEIF format from iPhones is natively supported, along with all common formats. Your guests can send directly from their camera roll, no conversion or settings required.

My album has expired, can I still recover it?

Once the retention period ends, the album is permanently deleted from our servers: this is part of our privacy commitment, and that's why a reminder email is sent to you one week prior. After deletion, no recovery is technically possible for anyone. Always download your ZIP file as soon as the event is over.

The live wall seems frozen, what should I check?

Make sure the screen is connected to the internet and that the wall page is still open (some TVs put the browser to sleep: disable sleep mode during the event). Refresh the page if needed: the wall will immediately reload with all the photos. Also note that after submissions close, the wall displays the complete album with no new additions.

The gallery is displayed in the wrong language, how can I change it?

The gallery automatically follows each visitor's phone language. To change it, simply adjust your browser or phone language settings. Room displays (posters, live wall) remain in the language chosen for the event.
